TPR / CONTRACTOR MANAGEMENT

Contractor management, from preparation to work on site.

TPR brings contractor company records, worker evidence, site inductions and work authorisation into one platform. Give your team a clearer view of what has been supplied, what needs review and what happens next.

What does contractor management software do?

It helps a site team organise contractor information and the checks associated with a visit or job. In TPR, company and worker records connect with document review, inductions, risk assessments and method statements (RAMS), permits and recorded attendance.

Who it helps: Facilities and estates teams, H&S professionals, site managers, security and contractor administrators.

FROM INFORMATION TO ACTION

The workflow in practice.

STEP 01

Prepare the company and worker records

Use the contractor self-service portal to collect company documents and worker details before arrival. Keep insurance, qualifications and expiry dates available for review.

STEP 02

Review the work and site requirements

Review RAMS and share site-specific inductions. Retain versions and acknowledgements so the team can see the evidence associated with the planned work.

STEP 03

Authorise the work

Use the configured permit workflow for the checks, confirmations and authorisation that apply to the task. The responsible people retain the decision to approve work.

STEP 04

Record attendance and follow up

Record arrivals and departures, review outstanding evidence and keep the records needed for later reporting. Attendance also supports your emergency muster process.

ILLUSTRATIVE WORKFLOW

What this could look like on your site.

A maintenance contractor is due next week. Their company submits the relevant evidence, your team reviews the RAMS, and workers complete the site induction. On the day, sign-in and any required permit form part of the site’s working process. After the visit, the records remain available for review.

This is an example of how the workflow can be used, not a customer case study. Features depend on enabled modules, roles and site settings.

BEFORE YOU CHOOSE

Questions worth asking.

Does TPR approve a contractor automatically?

TPR organises evidence and review workflows. Your responsible team determines whether the contractor and work meet your requirements; storing a certificate is not independent verification of it.

Can contractors provide their own documents?

Yes. The contractor self-service portal supports document and worker information submissions, reducing the need to collect everything through separate email conversations.

Can this connect with physical access control?

ACS can discuss supported Suprema BioStar 2, Suprema CLUe and Paxton Net2 connections. Compatibility and the exact access workflow depend on your equipment and configuration.
